Approved AI Chatbot Use
We are committed to supporting the responsible, secure, and effective use of artificial intelligence (AI) tools across the university. As AI technologies evolve, the university continues to expand the approved toolset while maintaining strong standards for data protection, privacy, and compliance.
Approved AI Chatbot Tools
These tools have been reviewed and approved to align with university security and compliance requirements.
Use of Other AI Tools
If you are interested in using an AI chatbot or tool that is not on the approved list, please submit an AI Tool Request Form for review.
- Requests are evaluated by members of the AI Leadership Team
- Reviews focus on the proposed use case, data handling, and risk profile
- The process is similar to reviewing a custom GPT or specialized AI application
- AI Leadership is available to provide consultation and guidance to support safe and effective implementation
This review process ensures new AI tools meet university standards for security, compliance, and appropriate use before being adopted for institutional purposes.
Data Protection and Responsible Use
Regardless of the tool being used:
- Do not enter sensitive or restricted data into unapproved AI tools or publicly available chatbots.
- Always follow applicable data governance policies and guidance for each tool.
- If you are unsure whether a specific tool is approved, what data types it can be used with, or whether your use case is appropriate, consult the AI Leadership Team before proceeding.
Unapproved Tools
AI tools that have not been reviewed and approved may pose risks related to data privacy, security, and compliance. Tools with unclear or invasive data usage policies should not be used for university business.
Personal Use
For non-university or personal use, individuals may choose to use other AI platforms at their own discretion. However, users should remain aware of the potential risks associated with sharing information on these platforms.
Ongoing Evaluation and Updates
We are actively evaluating additional AI tools and expanding our capabilities. The most current information on approved tools, guidance, and best practices is available at ai.utah.edu.
Support, Office Hours, and Questions
We offer regular office hours and forums to provide updates, answer questions, and discuss AI use cases.
You can also submit questions through the AI support form about:
- Enabling AI features in existing tools
- Approval processes
- Safe and responsible AI use
Submitted questions will help inform a growing FAQ resource.
We invite you to explore our AI events calendar for upcoming sessions that may be of interest, and to sign up for email updates to stay connected.
Thank you for your commitment to responsible AI use and for helping protect the university’s data and community.
Sincerely,
The University of Utah AI Leadership Team
